Terms of Service

These Terms of Service apply to your use of FaceSheet Pro, available at facesheetpro.com.

FaceSheet Pro is operated by Sykes Projects Ltd trading as FaceSheet Pro. In these terms, “FaceSheet Pro”, “we”, “us” and “our” mean Sykes Projects Ltd. “You” means the person or organisation using FaceSheet Pro.

1. What FaceSheet Pro does

FaceSheet Pro is a software tool for PR, events, publicity and related teams. It helps users turn guest lists into facesheets, save guest information, manage reusable guest records, match or add images, and export PDF facesheets.

FaceSheet Pro is a tool. It does not replace your own professional judgement, legal checks, image-rights checks, client approvals or data-protection responsibilities.

2. Accounts

You need an account to use FaceSheet Pro. You must provide accurate account information and keep your login details secure. You are responsible for activity that happens through your account or workspace.

If you use FaceSheet Pro on behalf of a company, agency, client, employer or other organisation, you confirm that you have authority to do so.

3. Trials and paid plans

FaceSheet Pro may offer a free trial. Trial features and limits may change over time. Paid plans renew monthly unless cancelled. Plan limits, features and prices are shown on our pricing page or inside your account.

  • Starter includes a monthly saved-facesheet limit.
  • Paid plans include unlimited PDF exports from saved facesheets.
  • New or unsaved facesheets must be saved before they can be exported.
  • If you reach your plan limits, you may need to upgrade to continue creating or saving new work.

4. Billing, cancellation and refunds

Payments are handled by Stripe or another payment provider. We do not store your full card details.

You can cancel a paid subscription through the billing portal where available, or by contacting us. If you cancel, your paid access normally continues until the end of the current billing period. After that, your workspace may become read-only or limited according to the product rules at that time.

Refunds are normally discretionary unless required by law. If you believe a payment was taken in error, contact billing@facesheetpro.com.

5. Your content and guest data

You may upload, paste, save or process content in FaceSheet Pro, including guest names, job titles, social handles, notes, event information, attendance information, images and other details.

You remain responsible for the content you add to FaceSheet Pro. You must make sure that you have the right, permission, licence, consent, lawful basis or other authority needed to upload, store, edit, use, export or otherwise process any guest information, images, photographs, headshots, social media handles, notes or other content you add to FaceSheet Pro.

You must not upload or use content that is unlawful, misleading, infringing, abusive, confidential without permission, or otherwise inappropriate for use in the service.

6. Photos and image rights

FaceSheet Pro does not give you any rights to use third-party images.

If you upload, save, crop, link to or export an image through FaceSheet Pro, you are responsible for making sure that your use of that image is lawful and permitted.

This includes press images, agency images, social media images, profile pictures, event photographs, Getty images, Shutterstock images, Alamy images, screenshots, client-supplied images or any other protected material.

You must not use FaceSheet Pro to store, reproduce or export images where you do not have the right to do so.

7. Image search and third-party content

FaceSheet Pro may help you find publicly available image results or image links. Search results may be incomplete, inaccurate, outdated or unsuitable.

FaceSheet Pro does not verify that image results are correct, current, licensed, cleared or suitable for your intended use. You are responsible for checking the identity, suitability, rights and permissions for any image you choose to use.

8. AI-assisted features

Some features may use AI or automated processing to extract names, roles, social handles or other information from guest lists or text.

AI-assisted results may be wrong, incomplete or misleading. You are responsible for reviewing and correcting output before using, saving, sharing or exporting it.

9. Acceptable use

You must not use FaceSheet Pro to:

  • break the law;
  • infringe someone else’s rights;
  • upload malware or harmful code;
  • attempt to access another user’s account or workspace;
  • scrape, overload, reverse-engineer or interfere with the service;
  • use the service for spam, harassment, surveillance, discrimination or unlawful profiling;
  • upload highly sensitive personal data unless you have a clear lawful basis and permission to do so.

10. Availability

We aim to keep FaceSheet Pro available and reliable, but we do not guarantee uninterrupted service. We may change, suspend, improve or remove features from time to time.

11. Intellectual property

FaceSheet Pro, including its design, code, branding, workflows and product features, belongs to us or our licensors.

You keep any rights you already have in the content you upload. By using FaceSheet Pro, you give us the limited permission needed to store, process, display and export your content so we can provide the service.

12. Data and privacy

Our Privacy Policy explains how we collect and use personal data. You are responsible for making sure that any personal data you add to FaceSheet Pro has been collected and used lawfully.

13. Ending or restricting access

We may suspend or restrict access if we reasonably believe you have breached these terms, created risk for us or others, failed to pay, abused the service, or used FaceSheet Pro unlawfully.

If your trial expires or your paid plan ends, your workspace may become read-only or limited.

14. Liability

FaceSheet Pro is provided on an “as is” and “as available” basis. We are not responsible for losses caused by your failure to check guest information, image rights, AI output, exported facesheets, client approvals or legal obligations.

Nothing in these terms limits liability where it would be unlawful to do so. To the fullest extent permitted by law, our total liability to you is limited to the amount you paid to use FaceSheet Pro in the three months before the event giving rise to the claim.

15. Governing law

These terms are governed by the laws of England and Wales.
